Most agencies start with a tool they want to implement. Syrgas starts with the process. We map how leads currently move through the business, identify where they go cold, redesign the workflow, and only then build the automation. We are tool-agnostic and never recommend migration unless the current tools genuinely cannot support the redesigned process. Every engagement includes change management. The team understands the new process before any automation goes live. It produces a before-and-after KPI report you can show your accountant.

The Lead Flow Health Check
The Lead Flow Health Check is a free 30-minute structured diagnostic call. We ask about how leads come in, what happens after they arrive, how long the average response takes, and how many leads go cold before a real conversation happens. By the end of the call, we calculate a quarterly revenue-at-risk estimate using your own numbers and send a written report within two hours. The report names the primary gap, the quarterly cost of the current situation, and the logical next step. There is no pitch and no obligation.
Yes, completely free and with no commitment. The Health Check is a diagnostic conversation. If the numbers do not justify further action, we say so plainly. If there is a real gap, we explain what fixing it would involve. The decision about whether to proceed is entirely yours. We send the report regardless of the outcome. Even if there is no gap, you get the analysis.
Nothing specific. The most useful thing is to have a rough sense of three numbers before the call: how many enquiries your business receives in a typical month, how long it usually takes your team to respond to a new enquiry, and what the average value of a new client is. Estimates are fine. We will work through them together. You do not need to pull any reports or prepare a presentation.
The methodology
You cannot automate a broken process. You can only make it fail faster and at greater scale. Before any tool is configured, Syrgas maps the current lead flow in full, identifies every bottleneck, and redesigns the workflow so all team members understand and have agreed to the new process. The automation then reinforces a process people already know. This is why Syrgas implementations stick where tool-first approaches do not. The team is not learning the process from a tool. They are using a tool to support a process they already understand.
No. Syrgas works with whatever tools you already have. This includes HubSpot, Salesforce, Pipedrive, ServiceM8, Jobber, Xero, MYOB, Gmail, Outlook, and any tool with a Zapier integration. We do not require a specific platform and we do not charge for tool migration. If an existing tool genuinely cannot support the redesigned process, we will tell you specifically why, but this is uncommon. Most Victorian SME tool stacks can support a well-designed automation with no additional software.
From the first Health Check call to a live automation running on real leads, the typical timeline is six to seven weeks: one week for the Discovery Audit, two to three weeks from Audit to Pilot kickoff (while SOW is signed and deposit clears), then the 30-day Pilot. The automation goes live in Week 3 of the Pilot, typically around Day 15 to 18 from the Pilot start date. Results are visible from that point. The 30-day report at the end of the Pilot provides the full before-and-after comparison.
The performance guarantee
Every Pilot Implementation has a primary KPI target agreed in writing before work begins, based on baseline data from the Discovery Audit. For most engagements this is lead response time, typically a target of under eight minutes from enquiry arrival to first automated response, compared to a baseline of 30-plus hours. If the primary KPI target is not met at Day 30, the client chooses between a free 30-day extension or a 50% refund of the Pilot fee. The baseline is confirmed in writing by the client at kickoff and cannot be revised retrospectively.
If the primary KPI is tracking to miss, Syrgas contacts the client directly before Day 25, not on the day the report is delivered. The client receives a clear explanation of the situation, the cause where known, and the two options: a free 30-day extension to continue optimising, or a 50% refund of the Pilot fee. The risk sits with Syrgas, not the client. We do not wait for the Day 30 report to surface a problem we have already identified internally.
The baseline is captured during the Discovery Audit using live data from the client's own tools: CRM timestamps, form submission data, email response records, and quoting tool data. It is documented as eight specific KPIs and confirmed in writing by the client before the Pilot begins. This documented baseline is what the Day 30 results are measured against. The Looker Studio dashboard Syrgas builds during the Pilot shows both the baseline and the live result on the same screen. The client sees exactly the same data we do.
Cost and commitment
Pilot Implementations are available in three fixed-price tiers: Tier 1 (Lead Response Only) at $5,000 plus GST, Tier 2 (Response and Qualification) at $8,000 plus GST, and Tier 3 (Full Workflow) at $12,000 plus GST. Fees are 50% deposit on signing the Statement of Work and 50% balance on delivery of the 30-day performance report. The appropriate tier is determined by the scope of the Priority 1 bottleneck identified in the Discovery Audit, not by the client's stated budget.
No. The Pilot is a standalone fixed-price engagement. If a client decides not to continue, they keep everything: the process map, the automation running in their tools, the dashboard, and the Client Training Manual. Nothing is removed or deactivated if a client does not proceed to a Monthly Retainer. The Monthly Retainer, if the client proceeds, is month-to-month after an initial three-month term with 30 days written notice to exit at any time.
The Discovery Audit is a one-week fixed-price engagement. It includes a kickoff call, process mapping sessions with the team, stakeholder interviews, a complete BPMN current-state process map, baseline measurement of eight KPIs, a bottleneck scoring matrix ranked by revenue impact, and a written report with a scoped Pilot proposal. The client owns the report regardless of whether they proceed to a Pilot. The audit is the most commercially important step. It is where the exact scope and KPI target for the Pilot are defined.

At the end of a Pilot Implementation the client receives: a live automated workflow running in their existing tools, a Looker Studio KPI dashboard with real-time data connected to the client's HubSpot, a 30-day before-and-after performance report with all eight KPIs, a Client Training Manual explaining how the automation works and how to maintain it, and two team training sessions. All deliverables are owned by the client. Syrgas retains no access to client tools after the engagement unless specifically agreed under a Monthly Retainer.
The Discovery Audit identifies multiple bottlenecks and produces a prioritised roadmap. The Pilot addresses the Priority 1 gap. The Monthly Retainer covers the Priority 2 and Priority 3 items from that roadmap, ongoing automation maintenance, monthly KPI reporting, and a monthly strategy review call with the client's nominated champion. Most clients find the Pilot fixes the single biggest gap and the retainer builds on the result systematically over the following months. The retainer is month-to-month. There is no long-term commitment.
